How to plan a custom software project before development starts

Start with the business outcome

A custom software project should start with the change the business needs: faster service, cleaner records, fewer manual steps, better reporting or a new customer experience.

Write the outcome in plain language before discussing screens, technologies or feature lists.

Map users and workflows

Identify the people who will use the system, the decisions they make and the information they need at each step.

This makes the product easier to design and helps avoid building features that look useful but do not support daily work.

Clarify integrations and ownership

List the systems, spreadsheets, websites, payment tools or devices the product must connect with. Also decide who approves requirements and who accepts each release.

Clear ownership saves time because the development team can resolve questions without waiting for the whole organisation to realign.

Define success evidence

Before engineering starts, agree what will prove the product is ready: test cases, user acceptance, reporting accuracy, performance, security checks and support readiness.

That evidence gives the project a practical finish line and protects quality at launch.
